Job Responsibilities

● In consultation with the Head of Department execute and administer the task involved in achieving the departmental objective covering the following key areas:

● Recruitment & Selection

● Training & Development

● HR Administrations

● Employee Relation / Industrial Relation

● Developing effective HR policies and ensure implementation of these policies are consistent and all HODs are well-informed.

● Responsible for roll-out and implementation of HR initiatives and programs that support the achievement of company’s business goal.

● Execution and Administration of the Training Needs of the Company in accordance to the Training Calendar by establishing effective employee training and development program. To ensure that training records are maintained in accordance to IMS requirement.

● Ensure that Job Description Records are updated and is of current use for all staff in employment, across the board. This will include maintenance and updating of Job Specification for all positions in the Company in accordance to IMS requirements.

● Preparation of Headcount Listing, HR Report & Organization Chart and Group HR Reporting.

● To follow-up with HODs for all probationary staff monthly appraisal reviews & to evaluate the outcome of the appraisal, with sufficient support documents.

● Reviewing of Manpower Requisition Form to ensure required information & documents are submitted for every new appointment.

● Recruitment process – which involves developing job descriptions, preparing job advertisements, checking application forms, shortlisting, interviewing and recommending suitable candidates.

● Coordinate with all HODs on the yearly performance appraisal exercise and to compile all data including leave record and disciplinary letters needed for the appraisal exercise.

● Manage and ensure payroll processing, payday, employee claim, overtime, and statutory payment (EPF, PCB, SOCSO, EIS, HRDF etc) is paid before the due date.

● To ensure the application, renewal and maintenance of all relevant business operational licenses & authorities’ permit such as Office Partition, Signboards licenses, CIDB, ISO certification, Advertising Permit & Developer License (APDL) License etc.

● IMS matters & audit for certification / SIRIM / Report / Communication / until end of closing of NCR (both internal & external audit)

● Maintain KPKT & all the correspondence with buyer & lawyer.

● Handle, Renew and Maintain all Tenancy/Leasing Agreement.

● PreQ tender / PQP project undertaking. Review & handle of all the tender / Project documentation for Directors included to write CV for tender & submission of documentation for CF & Form G for project finished. Work closely with other team member to ensure all the contract / tender / PreQ tender / Presentation meet deadlines for submission

● To manage servicing vendors and to ensure the office maintenance and cleanliness for office and common areas, including lift, toilet, pantry, office equipment, furniture, fittings, IT system (Soft & Hardware), Security, and transportation etc.

● Handle and maintain Organization’s website; Corporate Image and Company Profile

● Maintain executive's agenda and assist in planning appointments, board meetings, conferences etc.

● Handle all the documentation of presentation / Meeting / tender interview and all confidential documents ensuring they remain secure.

 

Experience Needed

● Must possess at least Professional Certificate, Diploma (Overseas University/College) or Bachelor Degree in Human Resources or equivalent.

● Minimum 10 years of relevant experience with responsibility in executing Human Resources functional and administrative support and minimum 3 years as Head of Department in the Organisation. ● Candidate with RBA compliance knowledge is highly appreciated

● Understanding of relevant Acts, legal demands and ethical standards.

● Computer Literate

● Excellent communication and written skills in English, BM & Mandarin will be an added advantage

● Effective Communication and Excellent Interpersonal skills with high Emotional Intelligence. (Able to handle high stress job)
