Job Responsibilities: 

  • Maintain contact lists, answer and direct phone calls
  • Develop and maintain a filing system
  • Organize and schedule meetings and appointments
  • Carry out administrative duties such as filing, typing,copying, binding, scanning etc.
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Generate, submit and reconcile expense reports
  • Prepare and monitor invoices
  • Develop administrative staff by providing information, educational opportunities and experiential growth opportunities
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Write letters and emails on behalf of other office staff
  • Maintain computer and manual filing systems
  • Reply to email, telephone or face to face enquiries
  • Oversee and supervise the work of junior staff, filter and report to director
  • Required to act on behalf of Director if needed
  • Follow director around to meet clients, including taking small notes
  • Report to Director


Job Requirements: 

  • At least 1 year experience in PA/Admin industry
  • Excellent written and verbal communication skills
  • Proficient in MS Office , training provided
  • Knowledge of office management systems and procedures
  • Fluent in Chinese, English, Bahasa Malaysia
  • Meticulous and presentable
  • Own transport required
